On-Track Equine Transport Terms & Conditions
Please read these terms and conditions carefully. By booking transport with us, you are agreeing to the following conditions. It is the customer’s responsibility to review these terms before booking.
1. **Horse Passports**
All horses and ponies must have their passport present during transportation, as required by the Horse Passports (England) Regulation 2004. If On-Track Equine Transport arrives and the passport is not present, the transport will be canceled, and the full transport fee will be charged. Photocopies or screenshots of passports are not accepted.
2. **Insurance Coverage**
We are insured for care, custody, and control of horses up to a maximum of £10,000 per animal. By booking transport, you confirm that you accept this maximum insurance coverage.
3. **Vehicle Damage**
If your horse causes any damage to our vehicle, you will be liable for the cost of repairs. You will have the opportunity to inspect the vehicle before departure. General wear and tear is acceptable, but any significant damage, such as tears or kick marks, will result in additional charges.
4. **Travel Gear**
For the safety and comfort of your horse, travel boots are not permitted. However, properly fitted over-reach boots, brushing boots, or tendon boots may be used if your horse is accustomed to them.
5. **Customer Responsibility and Risk**
The equine and any belongings are transported at the customer’s own risk. It is the customer’s responsibility to maintain insurance covering injury or death of the equine during transportation.
6. **Honesty and Behavior of Horses**
The customer must accurately describe the horse’s temperament and previous transport experiences. If, upon arrival, the driver determines that the horse poses a risk to itself or the vehicle, the transport may be canceled, and the full fee will still be charged. If necessary, the driver may call an emergency vet to sedate the horse, and any vet costs will be the customer’s responsibility.
7. **Loading Time**
A 30-minute window is provided for loading the horse. After 30 minutes, a fee of £15 will be charged for each additional half-hour. If the horse is unable to load within a reasonable timeframe, the full transport cost will still apply.
8. **Loading Process**
The horse will be loaded calmly, without the use of forceful techniques. If the driver believes the horse is being subjected to distress, they reserve the right to refuse transport, with the full transport fee remaining due.
9. **Bookings**
All bookings must be made by an adult aged 18 or over. For minors under 18, a parent or guardian must be present at all times.
10. **Customer Travel**
Customers cannot travel in the vehicle cab. Horse owners must make their own arrangements to follow or meet the horse at its destination. Return transport for the horse owner is not included in the quoted price.
11. **Weight and Size**
The transport vehicle is limited by its payload. Horse weight and height must be provided accurately at the time of booking.
12. **No Liability for Delays or Cancellations**
We are not liable for any loss of entry fees or related expenses due to delays or cancellations of transport.
13. **Hay and Headcollars**
Please provide a haynet for your horse during transport. We do not supply hay for safety and biosecurity reasons. If needed, we can bring a haynet upon request. The customer is responsible for providing a suitable headcollar for the horse.
14. **Loading Area Requirements**
The loading area must be level, clear, and accessible, with no low-hanging branches or potholes that could damage the vehicle.
15. **Collection and Delivery Details**
If the person booking is not present at the collection or delivery locations, contact details for someone at both locations must be provided. If no one is present upon arrival, we will wait for a maximum of 15 minutes. If no contact is made, the transport will be canceled, and the full fee will be charged.
16. **Horse Preparation**
Ensure that your horse is ready to load upon our arrival, along with its passport.
17. **Sanitization**
Our vehicle is cleaned and disinfected after each transport. Droppings will be removed at the destination to prevent the spread of disease.
18. **Cancellation Policy**
Cancellations made within 24 hours of the transport date will be charged the full transport fee.
19. **Payment**
Payment in full is required prior to the transport date unless otherwise agreed in writing.
20. **Photography**
We may use photographs of horses we transport for promotional purposes. Please inform us if you do not wish for your horse to be photographed.
21. **Governing Law**
These terms and conditions are governed by the laws of England and Wales and are subject to the jurisdiction of the English courts.
